<p>In January, the company launched the first “Get It Faster” contest in a series of competitions that ArcMail will run throughout the year – each boasting a different theme and prizes that are defined by those who enter. Each “Get It Faster” contest begins on the first day of the month and extends through the last day of that month, with the January contest now underway and the February contest slated to begin soon.</p>

<p>The current contest theme revolves around New Year's resolutions. To enter, Twitter users must log in to Twitter through the <a href="http://offerpop.com/arcmail/54325">contest page</a>, follow ArcMail's Twitter account, and then explain in a 140-character tweet how the prize of their choice (valued at up to $50) will help them achieve their New Year's resolution.</p>
<p>According to Linda Hartman, Vice President of Marketing for ArcMail, the contests align with the company’s core brand messaging, which is to help its business customers find archived files and attachments in seconds. Correspondingly, the “Get It Faster” contests help ArcMail followers find the prizes they want quickly.</p>

<p>The report comes on the heels of news earlier this month that a unit of Citigroup agreed to a $750,000 civil fine for not retaining millions of emails as required by securities industry rules, according to a settlement with the Financial Industry Regulatory Authority (FINRA).</p>
<p>“Financial services firms that do not comply with the various federal and state requirements for content preservation can face serious consequences,” says Osterman. “And while most fines have focused on larger institutions, there are growing indications that smaller banks, credit unions, broker-dealers and others are just as vulnerable to fines and other sanctions for inadequate recordkeeping.”</p>

<p>In the aftermath of the debilitating Amazon EC2 outage, it should be  obvious to everyone that when it comes to cloud services, CIOs should  conduct serious risk assessments comparing the cost of cloud outages  with the cost of guarding against those outages. Not all services are  business-critical, but each service deserves its own risk assessment to  ensure that organizations properly expose the risks of moving to  infrastructures beyond their direct control. Mission-critical services  require stringent service level agreements with redundancy and failover  attributes commensurate with the level of availability required by the  service.</p>
<p>Email is one business-critical service that most organizations share  in common. Best practices for organizations that are moving their email  infrastructure to the cloud or that are outsourcing their email service  in whole or in part include the following:</p>
<ol>
<li>Ensure that email has a path to flow in the event of a loss-of-service event from your major provider.</li>
<li>Recognize that email backups alone are not an effective business continuity plan for most organizations.</li>
<li>Implement an email archive.</li>
<li>Ensure that your archive captures email in real-time from primary and secondary sources. </li>
<li>Ensure that your archive is implemented in a facility other than your principal email provider.</li>
<li>Ensure that the queues for your archiving infrastructure are highly available.</li>

<p>Effective immediately, leasing options are available to cover up to 100 percent of all ArcMail appliances, software and maintenance contracts purchased through the company’s authorized resellers. The program allows SMBs and other organizations to take immediate advantage of ArcMail email archiving solutions to ensure business continuity, improve server performance and gain valuable legal protection through best-practice data management.</p>

<p>“Studies show that most organizations want to finance their technology investments over time – simply because it makes good business sense. Even for customers that can afford to pay cash, leasing provides many advantages, from tax relief and preservation of credit lines, to better cash flow and the ability to stay ahead of the technology curve,” says Rory Welch, CEO of ArcMail.</p>

<p>The ArcMail leasing program comes into play just after President Obama signed into law the Tax Relief, Unemployment Insurance Reauthorization, and Job Creation Act of 2010 (on Dec. 17, 2010). The legislation provides 100 percent bonus depreciation for investments placed in service after Sept. 8, 2010, and through Dec. 31, 2011. Under the new bonus depreciation schedule, businesses may immediately write off 100 percent of the cost of depreciable property (including technology) acquired in the same calendar year, provided the equipment is used in the U.S.</p>

<p><em> </em>Three years ago, during an information management conference that  Branford, Conn., IT Director Peter Hugret attended, he listened to  speakers who shared “war stories” about private-sector businesses being  court ordered to produce documents under the Sarbanes-Oxley Act, which  requires publicly traded companies to improve record keeping pursuant to  corporate disclosures.</p>
<p>Upon hearing those stories, Hugret thought to himself, “There’s going to  come a day when [saving documents] is going to be necessary. Right now,  legally we don’t have to hold onto documents forever unless we know  that it’s going to be a document that the courts are going to look for.  Then we have an individual responsibility to secure that document.”</p>
<p>But that’s changing in many states and cities. While the Freedom of  Information Act has standardized open records regulation at the federal  level of government, state and local governments and agencies are  subject to various open records laws, some of which are stringent.</p>
<p>This evolution of data retention requirements is encouraging  municipalities like Branford to modernize their e-mail archiving systems  in order to efficiently process open records requests.</p>
<p>Branford and some other municipalities have switched to e-mail archiving  software and hardware that back up years of inbound, outbound and  internal e-mails, even if they’ve been deleted.</p>
<p>For example, in March 2010, the Pasco County, Fla., Board of County  Commissioners settled on an agreement with e-mail management vendor  Mimecast for cloud-based e-mail archiving services to speed up public  record requests, according to the Florida Local Government Purchasing  Network.</p>
<p>In another example, Baton Rouge, La., purchased the <a href="http://arcmail.com/our-products/">ArcMail Defender </a>e-mail archiving system in January for the city’s more than 2,000  Microsoft Exchange e-mail accounts. Archiving e-mails has since assisted  with several open records requests, said the city’s information  services project manager, Keldric Emery.</p>
<p>“We get somewhat complicated requests,” Emery said. “We might have a  request where [constituents] might ask for an e-mail maybe from two  different people on a certain day, or maybe in a certain week or certain  period.”</p>
<p>The archiving system makes copies of every e-mail sent over a city’s  mail server while filtering inbound spam. A copy of an e-mail is sent to  the appropriate recipient, while another copy is stored on <a href="http://arcmail.com/">ArcMail</a>’s  servers where it’s indexed, compressed and archived. All data is then  encrypted to ensure data security, according to<a href="www.arcmail.com"> </a><a href="http://arcmail.com/about-email-archiving/how-arcmail-defender-works/">ArcMail</a>’s website.</p>
<p>Branford purchased the same system in August 2008 for nearly $2,500. The  town’s Microsoft Outlook e-mail accounts — roughly 400 of them — were  switched over to ArcMail Defender. Each employee received a user name  and logon password to access his or her archived e-mails, which can be  done by typing in search cues such as e-mail addresses, names and dates,  said Hugret.</p>
<p>The archive system also stores voicemails and faxes that are sent over  e-mail, said Kathryn LaBanca, Branford’s assistant finance director. At  first, LaBanca needed some time to adjust to the system, but once she  became more familiar with it, she said she didn’t have any trouble with  the software.</p>
<p>When the archiving system stores the e-mails, only one copy of each  e-mail sent is stored, even if it has multiple recipients. For example,  if an e-mail is sent to 20 people, only one of the e-mail’s 20 copies is  stored, Hugret said. Since multiple copies of e-mails aren’t stored,  Branford will be able to store more e-mails for a longer time period.</p>
<p>“That’s important from a storage standpoint because we think with this  device — and based on our pressing usage — we’re under 15 percent of  capacity,” Hugret said. “We’re probably going to have the same appliance  for seven years before we need to get another appliance.”</p>
<p>LaBanca said she can delete e-mails more frequently knowing all e-mail  copies will be stored. If a records request is made, she won’t have to  worry that important documents have been deleted permanently.</p>
<p>“The thought or the concern of deleting something that you might have a  FOIA request for two years down the road,” LaBanca said, “it takes that  burden off you.”</p>

<p>The enhanced ArcMail Reseller Program will provide channel partners across the U.S. with access to market development funds (MDFs) to encourage the promotion of ArcMail solutions to small-to-midsize businesses (SMB) and enterprise markets. </p>
<p>In addition, the company has founded the ArcMail Sales &#038; Training University to provide resellers with the training, knowledge, resources and support required to achieve long-term success.      </p>

<p><strong>Single Sign On</strong> – The Single Sign On (SSO) feature eliminates the need to log in to<br />
the archive for users who have already logged in to a unit that is bound to a<br />
domain. This provides secure authentication and access control to the archive,<br />

<p><strong>Retention Policies</strong> ‐ Retention Policies allow organizations to specify how long to<br />
retain different classes of messages in the archive. While many archiving<br />
providers only allow retention policies based on user, ArcMail allows<br />
organizations to create retention policies on any searchable message attribute,<br />
including user. This gives organizations the ultimate flexibility for implementing<br />
retention policies that meet their exact requirements.</p>
<p><strong>Message Holds</strong> – Whether originating from litigation, compliance or management<br />
requirements, message holds allow organizations to specify named sets of<br />
messages that are not subject to the organization's retention policy. Messages<br />
that are in one or more holds are not removed from the archive until they are<br />
explicitly released from all holds. Messages may be added or removed from holds<br />
all at once or incrementally over time. Holds may be created, modified, and<br />
released according to the needs of the organization. Holds are an integral part of<br />
the archive and, as such, are a fully searchable using typical message attributes.</p>
<p><strong>Stem based searching</strong> – Stem based searching allows users to search against<br />
related words. For example, if one were to search for “produced”, the returns<br />
may be “produce”, “producer”, “producing”, or “production”. This provides users<br />
with greater flexibility searching the archive and drilling down to specific data<br />
contained in the archive database.</p>
<p><strong>Phrase Based Searching</strong> – When searching the archive, users can now zero in on<br />
phrases contained within an email and receive results directly correlated to that<br />
search. For example, if one were to search for “123 Main Street”, the relevance<br />
search would return all documents which contained that phrase.</p>
<p><strong>Multi‐Language Support</strong> – The software now supports the following languages:<br />
Danish, Dutch, English, Finnish, French, German, Hungarian, Italian, Norwegian, Portuguese, Romanian,<br />

<p>Operation A+ is a community program that provides assistance to local students to purchase school supplies.  ArcMail donated $500 to the cause and also sponsored the “Stuff the Bus” program.  With the assistance of the local Boy Scout troops, the school bus was parked at the Boy Scouts main office across from Querbes Golf Course on Beverly Place.  Here citizens dropped off school supplies they are donating to the program.</p>
